Who uses a time card calculator
Hourly employees often want to check a paycheck before payday. Small business owners, shift supervisors and freelancers who bill by the hour need a fast way to total a week of clock-in and clock-out times. This calculator turns those times into paid hours, overtime hours and an estimated gross amount.
It handles common real-world shapes of a work week: a long Monday, a night shift that ends after midnight, or a split shift with a gap in the afternoon. Each row has a day label, start and end times, unpaid break minutes and a Next day box.
A card can hold up to 31 shifts, so you can also total a full month of hours when overtime is set to none.
Worked example: a week with an overnight shift
Enter five shifts at a rate of 22 per hour. Monday runs 08:00 to 18:00 with a 30 minute break. Tuesday, Wednesday and Thursday run 08:00 to 17:00 with 30 minute breaks. Friday is a night shift from 22:00 to 06:30 with a 30 minute break and Next day ticked.
Paid hours are end minus start, plus 24 hours when Next day is ticked, minus the break. Monday is 10 hours minus 0.5, or 9.5. Tuesday to Thursday are 8.5 each. Friday is 06:30 minus 22:00 plus 24 hours, which is 8.5, minus 0.5, or 8. The total is 43 paid hours.
With weekly overtime at a 40 hour threshold and a 1.5 multiplier, there are 40 regular hours and 3 overtime hours. Gross pay is 40 times 22, which is 880, plus 3 times 22 times 1.5, which is 99. The estimate is 979 before any deductions.
How regular and overtime hours are split
In weekly mode the threshold applies to the total of every row on the card. Anything above it becomes overtime. In daily mode the tool adds up hours for each identical day label and counts every hour above the daily threshold as overtime. Switching the rule resets the threshold to 40 for weekly or 8 for daily, and you can change it from 0 to 168 hours.
The multiplier can be set from 1 to 5. Times are exact to the minute, with no rounding to the nearest quarter hour and no automatic break deduction.
The results list net hours for every row, then total paid hours, regular hours, overtime hours and estimated gross pay. The formula used is shown with the report, which makes it easy to explain the numbers to someone else.
Common mistakes to avoid
Forgetting the Next day box on a night shift makes the end time look earlier than the start, and the tool asks you to fix the row. Labels also matter in daily mode. Mon and Monday are treated as different days, so two halves of a split shift must share exactly the same label.
Do not mix two payroll weeks on one weekly card. Overtime would be measured against the combined total. Overtime laws, meal break rules and rounding policies differ by location and employer, so confirm anything important with your payroll team or a qualified advisor.
Useful tips and limitations
- Weekly mode treats the whole card as one week; keep separate cards for separate payroll weeks.
- This calculator uses exact clock minutes and one overtime rule at a time. Check local payroll rules separately.
- Copy or download the report each week to keep a simple personal record you can compare with your pay stub.
- Use the currency selector only for display; it does not convert amounts, so enter the rate in the currency you are paid in.
Common questions
How do I enter a shift that crosses midnight?
Enter start and end clock times and tick Next day for that row. Shifts must be over zero and at most 24 hours, with unpaid breaks shorter than the shift.
Does the time card combine daily and weekly overtime rules?
No. Choose one rule. Daily mode groups identical day labels; weekly mode applies its threshold to the whole card. Jurisdiction-specific combinations are not implemented.
Is estimated time-card pay take-home pay?
No. It is gross pay from entered hours, rate and overtime multiplier, before taxes, benefits or other deductions.
Can I enter a break longer than the shift?
No. Unpaid break minutes must be shorter than the shift itself, otherwise the tool asks you to correct that row.
What happens to rows with no times entered?
A row with both start and end left blank is skipped, so you can leave a spare row on the card without affecting the total.
Can I calculate pay with no overtime at all?
Yes. Choose No overtime and every paid hour is multiplied by the hourly rate.
