How to sign a PDF and fill in its form fields
Use this when someone sends a contract, lease or form that needs your signature and a few details. It edits the PDF in your browser. It is different from Signature Maker, which only creates a signature image, and from the PDF Toolkit, which handles whole-document operations.
- Open an unlocked PDF up to 40 MB and 100 pages. Pages are rendered on screen.
- Create a signature: draw it with a mouse, finger or stylus, type your name in a script style, or upload a photo of your signature.
- Choose the target page and select Place on page. Drag the signature into position and drag its corner to resize it.
- Add text or a date stamp in the format you need, and fill in any form fields listed in the side panel.
- Optionally flatten the form so answers can no longer be edited, then save the signed PDF.
When to sign and fill a PDF in the browser
Rental agreements, school permission slips, job offers, delivery notes and customs forms often arrive as PDFs that need a signature, a date and a few details. Printing, signing and scanning takes time and produces a blurry copy. Placing your signature directly onto the PDF gives a clean result in a minute.
The tool fits documents you received and need to return: you can sign several pages, initial each page with a typed text stamp, date the document and complete any fillable form fields.
To design a reusable signature image for email footers or documents, use Signature Maker; its PNG can be uploaded here. For merging, splitting or watermarking whole files, use the PDF Toolkit.
Worked example: placing a signature precisely
On an A4 page, which is 595.28 × 841.89 pt, suppose you drag a signature to sit 360 pt from the left and 700 pt from the top, sized 160 × 50 pt (about 56 × 18 mm). PDF coordinates start at the bottom-left corner, so the tool writes the image with its lower-left corner at x = 360 pt and y = 841.89 − 700 − 50 = 91.89 pt.
If the page is rotated 90° (a landscape scan stored on its side), the same on-screen position maps to different internal coordinates and the image is rotated with the page, so it still appears upright to the reader. A box at 600, 400 on such a page is written at x = 450, y = 600 with a 90° rotation. These conversions are tested against pdf.js for all four rotations.
Date stamps follow the format you pick. 7 March 2026 appears as 3/7/26 with a US English browser's short format, 07/03/2026 for UK English, 07.03.26 for German and 2026/03/07 for Japanese, or as ISO 2026-03-07, DD/MM/YYYY or MM/DD/YYYY whatever your browser language.
How saving works
Pages are rendered with pdf.js so you can see where things go. Signatures are kept as transparent PNG images; drawn and uploaded signatures are trimmed to their ink, and an uploaded photo can have its white paper background made transparent.
When you save, pdf-lib opens your original file and adds each item to its page. Text in Latin characters is written as real text in Helvetica, so it stays sharp and searchable. Text containing other characters, such as Polish Ł or Cyrillic letters, is embedded as a high-resolution image instead, because the standard PDF fonts cannot encode them.
Form fields are read from the PDF's AcroForm: text boxes, checkboxes, drop-downs, option lists and radio buttons. Changed values are written back and their appearances regenerated. With Flatten on, fields become ordinary page content. The original file is never modified; you download a new copy.
Common mistakes to avoid
Assuming a drawn signature is a digital signature. A visible signature shows intent, but it does not cryptographically lock the document. Contracts that must use a qualified or certificate-based signature need the signing service the requester names.
Flattening too early. Once flattened, fields cannot be edited. If the form still needs another person's input, leave Flatten off.
Trying to sign a locked file. Encrypted or restricted PDFs cannot be changed until they are unlocked. If you know the password or have permission, unlock a copy first.
Useful tips and limitations
- Placed items work with the keyboard too: Tab to an item, use the arrow keys to move it, + and − to resize and Delete to remove it.
- This adds a visible signature image. It is not a certificate-based digital signature, which some agreements require.
- Sign at a slightly larger size than you need, then shrink it: the drawing keeps its detail.
- Use the Target page selector before adding an item, or click a page to make it the target.
Common questions
Is a signature added here legally valid?
Many countries accept simple electronic signatures for everyday agreements, but rules vary by country and document type. Some documents need a witnessed, notarised or certificate-based digital signature. If unsure, ask the person requesting the signature.
Why can't I open my PDF?
Password-protected or restricted PDFs must be unlocked first. If you know the password or have permission, use Unlock PDF and open the unlocked copy.
What does flattening a form do?
It turns fields into ordinary page content. The answers stay visible but can no longer be changed, which suits a final signed copy. Leave it off if someone else still has to fill in fields.
Can I sign every page?
Yes. Choose each page as the target and select Place on page again; the same signature can be reused as many times as needed.
Why isn't the form preview updating as I type?
Field values are applied when you save, so the on-screen page shows the original form. Open the saved copy to check the filled fields.
Can I move or delete a placed item?
Yes. Drag it, drag its corner to resize, or select it and press Delete. Keyboard users can Tab to it and use the arrow keys.
Your files are processed in this browser and are not uploaded to ToolWorld Online. Nothing is kept after you close the tab, so save the finished download first.
